Problem

Sales lived in HubSpot; finance lived in NetSuite. Every closed deal meant someone re-keying customer records and invoices by hand — slow, error-prone, and a constant source of mismatched data between the two systems.

Approach

I mapped the full customer + invoice lifecycle across both platforms, identified the fields that had to stay authoritative on each side, and designed an idempotent sync so records could never be duplicated or clobbered on retries.

What I built

  • A Make scenario that watches HubSpot for closed-won deals and new/updated companies.
  • Field-level mapping and de-duplication logic that upserts customers into NetSuite.
  • Automatic invoice creation with line items, tax, and terms carried across.
  • Error handling with retries and Slack alerts so nothing fails silently.

Results

  • ~10 hrs/week of manual re-entry removed.
  • Near-real-time consistency between CRM and ERP.
  • Finance trusts the numbers — no more reconciliation fire drills.
